Seminars and Conferences Team Leader Job Description

Position: Seminars and Conferences Team Leader
Responsible To: VP Member Services, Chapter Members
Direct Reports: Team Members

 

FUNCTION
Manage the activities of the Seminars & Conferences team to provide appropriate programs for the membership throughout the year.

 RESPONSIBILITIES

  • Assist VP in developing annual calendar of seminars and topics

  • Arrange seminars including but not limited to the July seminar, September conference, and at least two specialty seminars throughout the calendar year utilizing the membership survey as a guideline to meet the membership’s needs

  • Secure speakers for the seminars through outside contacts, experts from SAHRA membership or other associations; obtain biographies and other topic outlines and AV equipment needs for each speaker

  • Determine any special travel arrangements or hotel accommodations the speakers may need

  • Determine facility needs for seminars, provide information to Administrative Support person

  • Prepare speaker’s handouts for distribution at the seminars.  Determine the most appropriate format for delivery (e.g. binders, handouts, folders)

  • Determine how to get seminar materials to meeting place

  • Send thank you letters to speakers and copy to VP

  • Introduce speakers at seminars

  • Coordinate any vendor show that may be appropriate for the display during any seminars.  Finalize companies that will be exhibiting, determine exhibitor needs, send advertising and acknowledgment letters

  • Develop advertising brochures for any seminars.  Prepare and finalize text; determine quantity to be printed

  • Develop informative newsletter articles and forward to SAHRA administrative office no later than the last Friday of each month

  • Provide Executive Director with updated Web site content as necessary

  • Obtain mailing labels for SAHRA membership, student membership, and other mailing lists.  Print brochures and prepare for mailing by the Administrative Support person

  • Insure seminars provide chapter with a profit goal to be determined at the beginning of each year

  • Attend joint Professional Development meetings

  • Network with other chapter leaders

  • Establish committee goals and monitor progress of reaching these goals

  • Conduct team meetings as needed

  • Compile and develop monthly report of team activities and forward to SAHRA administrative office no later than the last Friday of each month

  • Monitor and maintain resource budget. Submit requests for payment as expenses are incurred.

  • Attending monthly Board meetings as needed (minimum 2 for the term)

  • Recruit, train and retain volunteers; plan for successor

  • Orient new Team Leader

REQUIREMENTS
Must be a SAHRA member in good standing. Effectively facilitate meetings. SHRM membership preferred.  Contribute to development of strategic direction and follow through on goals and objectives. Effective communication skills. Ability to coach, develop and mentor volunteers.  Ability to identify creative solutions within limited resources. Ability to stay within the budget.  Plan, implement and follow through on goals and objectives.

TIME COMMITMENT, in addition to Board and Monthly meetings:
Approximately 5 hours a month
