Position: Secretary 
Responsible To: Board of Directors, Chapter Members
Direct Reports: Noner

 

FUNCTION
Chief Administrative Officer for the association. Responsible for record keeping, through own efforts or as directed to administrative staff. Provides administrative support to the organization and effectively interacts with the Executive Director.

 RESPONSIBILITIES

  • Work closely with the Executive Director to ensure accuracy of information and adherence to required deadlines, especially with regards to the monthly newsletter and Web site content

  • Manage Members’ Forum section of the newsletter, responding to members questions or inquiries, arranging responses from the appropriate party, and submitting appropriate content for publication

  • Accumulate information all year about the chapter and compile it for the Chapter Achievement Plan submitted to SHRM by January 31 each year.  Submission of the Chapter Achievement Plan is required by SHRM and covers the year just passed.  Submissions should be sent no later than January 31 to your SHRM Regional Team at SHRM. 

  • Prepares submissions for chapter Pinnacle Award nominations, if applicable.

  • Provide for the distribution of meeting agendas; back up ED in the taking of minutes; arrange meeting times, locations and notices

  • Ensure that minutes have been distributed to relevant persons within one week of meetings

  • Keep track of meeting issues and timeliness of Board transactions

  • Ensure that all annual election information has been transmitted to the membership

  • Coordinate reports at President’s request

  • Respond to correspondence under the direction of the President or President-elect

  • Participate in chapter planning activities and assist other Board members with additional tasks, as needed

  • Orient incoming secretary and/or other volunteers as needed

REQUIREMENTS
Must be a SAHRA member in good standing. Must be a member of SHRM.  Possess the ability to effectively influence volunteers.  Possess excellent communication skills (oral, written and presentation). Possess the ability to attract, develop, mentor and influence volunteers to assist with leadership development.  Must effectively utilize staff within constraints of limited resources.  Must attend 80% of Board of Directors meetings and 50% of SAHRA events.

TIME COMMITMENT, in addition to Board and Monthly meetings:
Approximately 4 hours a month
