Monthly Meetings Team Leader Job Description

Position: Monthly Meetings Team Leader
Responsible To: VP Professional Development, Chapter Members
Direct Reports: Team Members

 

FUNCTION
Manage the activities of the Monthly Meetings team to plan, arrange and coordinate all general monthly meetings and specialty monthly meetings

 RESPONSIBILITIES

  • Assist VP in developing annual calendar of seminars and topics

  • Arrange monthly meetings throughout the calendar year utilizing the membership survey as a guideline to meet the membership’s needs

  • Secure speakers for the meetings through outside contacts, experts from SAHRA membership, or other associations. Obtain biographies and other topic outlines and AV equipment needs for each speaker

  • Determine any special travel arrangements or hotel accommodations the speakers may need

  • Determine facility needs for monthly meeting, provide information to Executive Director

  • Develop newsletter articles/advertisements and send to newsletter editor by the deadline; submit Web site content as well

  • Prepare speaker’s handouts for distribution at the meetings

  • Send thank you letters to speakers and copy to VP

  • Introduce speakers at monthly meetings

  • Provide budgetary reports to the VP after each Monthly meeting. Insure monthly meetings provide chapter with a profit to the determined at the beginning of each year

  • Develop advertising brochures for any monthly meetings. Prepare and finalize text.  Determine quantity to be printed

  • Network with other chapter leaders

  • Establish committee goals and monitor progress of reaching these goals

  • Conduct team meetings as needed

  • Develop informative newsletter articles and forward to SAHRA administrative office no later than the last Friday of each month

  • Compile and develop monthly report of team activities and forward to SAHRA administrative office no later than the last Friday of each month

  • Monitor and maintain resource budget. Submit requests for payment as expenses are incurred.

  • Provide Executive Director with updated Web site content as necessary

  • Attending monthly Board meetings as needed (minimum 2 for the term)

  • Recruit, train and retain volunteers; plan for successor

  • Orient new Team Leader

REQUIREMENTS
Must be a SAHRA member in good standing. Effectively facilitate meetings. SHRM membership preferred.  Contribute to development of strategic direction and follow through on goals and objectives. Effective communication skills. Ability to coach, develop and mentor volunteers. Ability to identify creative solutions within limited resources. Ability to stay within the budget. Plan, implement and follow through on goals and objectives.

TIME COMMITMENT, in addition to Board and Monthly meetings:
Approximately 5 hours a month
